Hi everyone, first time I've ever posted a topic/question, so I hope I'm doing it right! I've been asked to send a kindle copy of my book so that a company can have one of their reviewers look at it. I thought I'd just 'gift' a copy from my Amazon page to the administrator's email address - but then, would the individual reviewers be able to access it, if their kindles aren't linked with the same email? How do I do it otherwise? Sorry if this is a really basic question - I'm not very tech savvy!! Thanks for any help.

Well, first thing is, did they request a copy? If so, then you can go to your account and click on "give as a gift" on the bottom where you buy with a click. If the reviewer says, sure, send a copy, then you can create a eBook copy that is DRM-free, and email it to them. Lastly, some prefer PDF or print. It's all in whether or not they have approved you sending it to them in the first place. Helps to find a reviewer who has a public email address that says they are interested in your genre of book. Then, email them and tell them you found them on Amazon, and respectfully ask them if they would be interested in reviewing your book, offering a free copy in whatever format they want. I've gotten about 7 reviews this way.

Hi Christina, lovely name, btw. ;)I'm not sure that you actually need the exact email address because I have my kindle registered to my pwrsonal email, but people have gifted books to my author email and I've gotten them just fine. The thing is, I'm on one device that recognizes both emails. They might not be. You can download a mobi file to send from your KDP setup page if you don't have a way to create one.
You can send your book in mobi format/Kindle format by going back to your KDP bookshelf, clicking under book action and then clicking edit details. At the bottom of the page, you'll see an option that says Download Book Preview File, that's your mobi file.

Thanks for that Christina (yep, good name! - though must admit mine's always shortened to Tina)I'll try downloading a mobi file. Thanks again for replying so quickly.

Sending a gift copy means you buy a copy as if you were a regular customer, si yes, you pay, but then you get your royalty back.
You do pay for the gift book you send, but you get the royalty payment, and I think the sale counts toward your ranking. Can anyone confirm this?April
It counts toward your ranking if the person actually get your book. I don't know if it changed but a few years ago I was reading a Q&A with Amazon and it seems the person who gets your gift may exchange the book for a gift certificate and get another book instead.

And if they never redeem the gift, your money is in limbo. This actually happened to me with two books I sent. As of today, still unclaimed.

I mean after some times if not claim they should reimburse you or something. They are more liberal with people returning stuff than when people don't get the stuff already paid for.
I also wished that if you gift something the person would have to get what you gifted. That'd make more sense. :/
This is all very useful. I was wondering how to send a copy to the archives in Canada which is required when you ask for an ISBN number. I'm assuming you can use the gift it feature for that.

So, if you gift an e-book on Amazon, the recipient doesn't have to get that book? They can get a different book? Really? I wonder why that is. I think I can guess. It still seems odd to me.April
Converting the file to your reviewer's preferred format is also an option. It's worked well for me.Try Calibre eBook Management. It's a free app, available under General Public License, and converts files to pretty much any eBook format.
It also has a built in viewer, so you can check that the conversion was successful in maintaining your book's layout.
Two caveats: 1 -Make sure you download the version that is compatible with your operating system (XP, Windows 8, etc.). 2 -Take 10 minutes to watch the video tour; it'll save you time on learning the app.
