Delegation- Make the right move!

The veridical quality of a Manager is how well he can get things done from his team; how well he can delegate; how well he can judge the qualities and capabilities of his squad. In addition, he needs to equip himself to be able to analyse the end results, measure the performance metrics, appraise the weaknesses and strengths within and develop methods for further improvement and renovation if required.

Delegation is an Art and needs serious improvisation. It is the assignment of responsibility or authority to another person (normally from a manager to a subordinate) to carry out defined tasks. It is a major ingredient of mind sharing and task completion within the time-frame and for mutual benefits.

The bottom line is the right approach, clear agenda, smooth transition, flexibility, coherent strategies and crystal connection.

# Under delegation

This could be the result of lack of confidence on the subordinates. The manager needs to spend time to develop his team, train them if required and shower the right kind and amount of responsibility and authority to the delegatee. Under delegation leads to low morale and low self confidence among the team.

# Over delegation

It only proves that you are lazy, possibly over-confident or may not know the job. Too much dependence on your subordinates could spoil you. In fact, you tend to lose the grip on your own work and lose focus from the right path. The only desire would be to reach out to the end result with power and command; eventually bringing in frustration and low self-esteem among the team.

# Delegate the right way

Know the task in hand, see the challenges, collect maximum information; before passing on the responsibility to others. Gauge your team's best and worst performers. Delegate them sufficiently and adequately. Set the expectations correct. Draft the requirements and targets.

# Objective is to save time with a rewarding result

That's the key to delegation. Saving time, minimizing errors, working as a team to reach the goal in the shortest time span.

# Your Management skills might be killing your clerical skills!

Don't let that happen! Delegation should not take you away from the core. Remember your job even if 100% of it is delegated. You are the master who should know his lions well. If you forget the art, everyone else would be in trouble.

# Define tasks with proper distribution

Well defined and documented processes and procedures are the fundamental ingredients to achievement. The team members should be clear on their roles and responsibilities, which should be properly placed, supervised, monitored and observed. Distribute tasks to the right people. Know their potential and efficiency before handing over the charge. Trust your guys!

# Share ideas

Your experience and knowledge is their motivational factor. Share your experiences, achievements, methods, ideas, information. Train them at regular intervals, show them the areas of improvement. Appreciate them for good work and correct them when they are wrong. Keep them updated about the company's objectives and aspirations, lead them, engage them and be their mentor when they need you.

# Set timelines

Don't leave them on their own. Regular supervision of work and performance is must. Set well-defined and clear timelines for each resource. Don't keep your expectations too high always. Give them tough targets but leave scope for mistakes and amelioration.

# Risk-taking is the essence

Don't fear risks. Have confidence on your subordinates else they will be left with no job in hand. Every person is different, has a different degree of performance and grasping power. Don't compare two members too much. There will always be differences. Some would always be better than others. Some would always be the worst performers. Some would need extra training. Some would need more time to finish the same task in hand. Give a chance to all with varied degrees. Trust your gut and choose the right.

# What and how much to delegate (and not to delegate)

Don't over or under-do it as already discussed above. After all, you are also a member of the team. Some part of the job is your responsibility as well. Not everything and every task can be delegated. Make correct calculations, a proper flowchart if required, define steps and performance indicators for all. Know exactly what requires to be delegated and what needs your own attention.

# Climbing up the success ladder

You can't move up the success ladder till you do not have a successor! Make sure you have a replacement ready if required; with definite limits of course. Delegation is the first step to create one. Delegation itself gives an opportunity to others as well to grow and learn, brings in motivation, excitement, many times innovative ideas too.

# Your accountability remains

No matter how much you delegate, you shall always remain accountable for the task in hand. Know your limits and the efficiency quotient of the entire team. The entire world has survived and grown with sharing and delegating for centuries. It will remain the success mantra for all big companies.
