How We Booked Out My Calendar with Interviews!

You might remember a little while ago I told you how we halved our time spent on emails as part of our mysteriously named Project 10%.

What’s Project 10% you ask? Well, it’s where we work on different areas of our business and improve them by 10% or more.

For our second Project 10%, we decided to improve and automate our interviews + podcasts process.

The plan was:

Automate the screening + booking proceduresTune up our pitching processHave a minimum of 20 interviews booked in by the end of the month

Some of the notes my assistant Zita took from the pitching training

 

1. Commence training to tune up our pitching procedure

My assistant took Jaclyn Mellone’s Plug-N-Pitch System training and from that we got some super helpful tips and ideas, including a number of pitching templates.

This meant we were able to personalise not only to me and my brand, but also to whoever we’re pitching to.

The other HUGE take away from the training we had was to actually pitch topic ideas. For every podcast I pitched, I came up with 3 topic ideas that were incredibly relevant to the podcast being pitched. These topics varied from money, business, life, creativity, neurodiversity, gender and more!

Including topic ideas in your pitch really shows you understand the podcaster’s audience and what you can offer them!

2. Streamlining the Interview Screening + Booking Process

We knew straight away that we wanted to make the booking process as easy, quick and painless as possible for us and potential interviewers. The back and forth of emails, manually booking people in, having to send out reminders ourselves just takes up so much fucking time and I would really rather use that time for other projects, or you know, to just read a book or masturbate with a crystal dildo instead.

To streamline and automate our booking system, my assistant set up a Calendly account.

Calendly is perfecto for us, because we can also ask our screening questions before people can confirm their bookings.

Here’s a sneak peek at our screening questions:

Name:Email:Do you engage in anti-racist practices, avoid + call out when possible cultural appropriation and misogny, and support science (i.e. you are not an anti-vaxxer or a believer of QAnon), and support the LGBTQIA+, and BIPOC communities?What is the name of your podcast/show?Please provide links to your podcast/website/social media etc:What’s your expected audience number/number of podcast downloads/number of unique views?What topic/s would you like to discuss?Please provide the Zoom link below:You understand that if you do not show up to your interview without courtesy emailing support@leoniedawson.com at least 24 hours in advance, we will not be able to book any future interviews with you:

All these questions are required. That means that you can’t confirm your interview booking unless you’ve answered all the questions. And then we check the answers, to make sure they fits in with our values as a company.

I’m not interested in being interviewed by racists or people who spread misinformation that harms lives, cheers & thanks.

So much time has been saved!Screening questions are asked before booking, no more having to manually email everyone!Calendly is connected to my Google Calendar, so as soon as someone books in it automatically adds it inYou have the option to make the booking link private or public. Ours is private, so we can send it to people we already have a cheeky inkling will be a good fit without having to screen too muchI have complete control over my calendar availability; to help avoid double booking or booking too many interviewsPeople can book in their own time zones (which avoids confusion re: daylight savings + mixing times up)People have to provide a Zoom link in order to book their timeslots (saves us having to chase up links the day before/morning of the interview)Calendly sends out automated reminders 24 hours + 1 hour earlier

3. Pitch to podcasts who don’t know us.

We did a sweep to look for podcasts who might be a good fit. I found them by:

looking up Apple Podcast’s top podcasts in certain categoriesresearching what podcasts other teachers in my niche had been ongoogling “topic + podcast”

We also kept a comprehensive spreadsheet of who we’ve pitched on what date, and what their answer was. We also use my podcast directory as a way to keep track of who’s interviewed me before!

In the past, I’ve emailed my list asking people to reply if they want to email me, and while this always gets a great response it causes my assistant a significant amount of work. And given that we’d just streamlined the inbox I really did not fancy causing a mahoosive avalanche of emails for her. #SoooooooThoughtful

To avoid the inbox deluge, my assistant Zita had the idea of asking people to post their podcasts in my Kajabi student forum for all my students. This was faaaabulous because I had also been wanting to find more podcasts to listen to. So we made the post, and suddenly we had a directory of podcasts by my students.

For me, it was a treasure trove of new content to consume.

For Zita, it was a list of potential podcasts to pitch to.

Two birds. One Stone. MUCH SUCCESS!

My assistant began the task of going through and creating a list of podcasts that might be a good fit. I then went through the list and approved each podcast. The pitches were written and we emailed them off!

5. Affiliates!

We also emailed separate pitches to our top affiliates, inviting them to interview me. This was suuuper successful. Peeps get to promo their affiliate links while interviewing me, talk about a win/win. Ha!

6. Results!

21 interviews are fully booked in and confirmed between now and the end of the year!

We could have booked more, but I capped it at 2 interviews a week and none over the school holidays. It’s incredibly important that I don’t burn myself out and spend precious time with my family.

At the end of project (whether it’s successful or not), we answer the following questions:

What 3 things made the most significant difference?Taking some training to work out how to pitch wellBeing smarter and more intentional about who we pitched toAutomating using a Calendly booking link with extensive screening questions.What lessons did we learn?Even with all the automated processes in place, pitch document templates and a list of podcasts to pitch to, pitching still takes a BIG chunk of time. Providing topic ideas (in the format of blog post heading) REALLY gets people excitedIt’s super useful for me & my assistant to do a training of some kind anytime we feel unsure about how to complete a task – it really helps with confidence levels and makes us feel more capableCold pitching (i.e. pitching to podcasts who aren’t within my circle) has a much lower response rate. As does pitching bigger podcasts.What could we continue doing to see improvements in this area?The podcast pitch course recommend following up no sooner than 10 days after sending the pitch, so we’ve made a weekly reminder in Asana to follow up pitches that haven’t been responded toWe also have a document where I’ve saved who’s been pitched to so we have a directoryWe might also consider creating a booking page on the website for ongoing podcast interview requestsAsk interviewers if they could recommend me to any of their podcaster friends… #networkingWhat are the end results of this experimentPodcast pitch document template is PERF and not only reduced any nerves about reaching out to people but also saved time writing up pitchesEasily booked 20 interviews: affiliates + customers were incredibly responsiveCalendly booking link + questions has saved so much time + energy

What is an opt-in?

An opt-in or lead magnet is something you give away FREE in exchange for an email address. Once you’ve got that email address, you can then add to your mailing list and continue to send marketing emails to.

If you ask me, free opt-ins are a business staple. They have soooo many uses; they’re a brilliant tool to help you:

grow your mailing listincrease salesintroduce peeps to your work without them having to spend a cent.

If I haven’t already been clear enough: free opt-ins are the bom diggity.

You’ll see there’s a graphic for each of these opt-ins. For every single opt-in I offer, I’ll do a mock-up of some kind.

For example:

Even though all my freebies are digital downloads, using mock-ups has MAHOOSIVELY increased download rates.

And just because it’s free, doesn’t mean you don’t have to market the shiiiiit out of your opt-in… Whenever I release a new freebie it usually gets a blog post about it, added to my freebie page, emailed to my list & we’ll create some kind of pop-up on my website using OptinMonster.

Plus! When someone downloads any of these opt-ins via the forms (either from ActiveCampaign or OptinMonster) they’re automatically added to my mailing list and added to my welcome sequence (which has several emails sent out across a two-ish week period)!

I also have opt-ins that funnel people into an automation marketing a relevant paid product of mine. MAMA LOVES A WELL OILED MACHINE!

Case Study: Goddess In 10 Minutes Kit

Just in case you think opt-ins are a new, shiny thing businesses have only started using, I want to share with you a case study from waaay back when I started my business.

In one of my earlier incarnations of business, a lot of my work was about helping every woman see the goddess inside herself – divine, creative and joyful (long time fans will recall “goddess” was a major part of my branding).

To encourage people to join my mailing list, I would say they would get “FREE GODDESS GOODIES” when they signed up. And I’d email them a couple of the free resources I’d already created (like a meditation, video and e-book).

It did okay, until I had an epiphany one day. Instead of just calling it “FREE GODDESS GOODIES” I would package it as the “Goddess in 10 Minutes Kit” as the perfect starter for someone to be introduced to my work. This would work in beautifully because one of the most popular questions I was asked was “How do I start feeling like a goddess? Where do I start?” Just rebranding the package meant it now appeared as a direct solution to someone’s problem.

Not only did I rename it, I also created an image to go with it to show them exactly how much value they’d get out of it, and what they’d receive in it. When you convert something from just being words to being an actual image of what they receive, it changes their perspective immediately.

Results From Rebranding My Free Opt-In

When I introduced the new branding and image for my free opt-in, daily mailing list signups multiplied by 10! The same amount of people were viewing the offer, but ten times the amount of people were saying YES to it!

It was a HUGE lesson for me that just by tweaking the branding, adding a good image of what they would receive, and positioning + crafting it into something that people were already asking for could have massive results.

You need to still sell the ever living shit out of your opt-in offer EVEN THOUGH IT’S FREE.

You need to convince people that:

It’s for themIt’s worth their time to pop their email inThey will get something valuable out of itIt will give them something they are already looking for

You could also test your opt-in offerings. See if one holds more resonance with your market than another.

Don’t forget: SEED throughout your free offering.

What do I mean by SEED?

This is when you mention your other programs, services or products throughout the free opt-in.

For example “One of the things I teach during our 40 Days to Create + Sell Your eCourse training is how to avoid getting stuck on the tech side of things and get your eCourse out there and making you money STAT. Our graduates report that by doing these three simple steps, they have seen great results…”

You don’t hold back from providing useful information, but SEEDING makes sure readers know what the next level of working with you involves.

More ways to market your free opt-in:Include testimonials or “case studies” from previous clients/customers highlighting the change they’ve had from using your thing.Include why you are an expert or why your business is better than everyone else’s. What’s your USP (Unique Selling Proposition)?Don’t do a bait and switch. As in: say the e-book is awesome, and then give shit all content in it. You really want it to be a taster of your work, and you want people to have an amazing experience with it!Tell people at the end how to dive deeper into the work with you (i.e. what they should buy first, or your list of offerings and how to purchase). Tell them what they need to do next to get the results they want (i.e. hire you or what product of yours to begin with).Consider having worksheets as a bonus for your opt-in. IT’S TIME TO GET OPTING IN!

Bottom line possum blossoms, opt-ins are defo a giant asset to your business.

If you want to grow your mailing list and increase your sales beyond your wildest dreams, opt-ins are lookin’ straight at ya.

Plus, the creation process absolutely does not need to be massively complicated. For example, you could use Canva to create eBooks & mock-ups. Got a phone? Use that in a small, quiet room to record a meditation. Whack together a spreadsheet template.

Don’t get your head stuck up your ass, my loves.

Off my face on tea

Dearests,

Gather round my loves! It’s story time with Leonie!

So… I’ve never taken illicit substances before, including cannabis.

I’ve always sort of felt like my brain is already a bit wonky in its own glorious way, and I don’t want to mess with the miracles of that chemistry.

But sometimes in my encroaching middle age I wonder if I should try cannabis just to know, you know?

And then yesterday.

A day like yesterday happens.

I never drink coffee usually. And I stick to a fairly strict caffeine limit of just one cup of tea per day. COULD YOU EVEN IMAGINE THIS PERSONALITY ON CAFFEINE?

But yesterday I went WILD.

I had THREE cups of tea.

And loves… it.did.not.go.well.

After I downed that third cup… I was BUZZING. My hands started shaking, my face felt like it was falling off and I couldn’t read my book anymore. I was at my beloved River Read and I told them I was going to “shop my caffeine shakes out” and I did precisely that, all while talking faster than I’ve ever talked before.

I was 10 minutes late for school pickup of course, I was too busy shaking and talking and buying fluorescent pink pens to notice the time. I didn’t stop shaking until 6 hours later. Those three cups of tea REALLY sent me over the edge.

In conclusion, I have decided it’s probably best I continue to steer clear of drugs. Including overdosing on tea. It’s best for all concerned.

There’s benefits to me as well.

I’ve been creating the workbooks for the last 13 years now. It feels like a lifetime & an enormous blessing, & I’m forever thankful that the idea of them landed in my pregnant lap so many moons ago.

And 13 years in, I’m also well versed in what it takes to create them as well and share them with the world. It takes about 6 months of my year to revise, edit, add new content, create new companion products, test print, fix the resultant issues over and over again… then set up the backend of shopping cart and sales page… then market over & over… and of course provide all the customer service for it. It can be a real cause for burnout for me (on the creativity and management front) and my assistant (on the customer service front).

Both my husband and my best mate know that come the months of July-October, at some point there will be a Leonie Workbook-Related Meltdown. It’s like clockwork. This isn’t ideal, and it seems to get worse as each year goes on.

Lastly, the workbooks bring in only about 5% of my annual profit in. For something that takes more energy and time than the work that brings in 95% of profits.

It feels like an emotional conflict for me to share the difficult parts of the workbooks with you. I feel enormously proud of them, and I am so protective over them. I love them dearly, and I can’t imagine doing my own year without them – just as I know many of you can’t imagine doings yours without them either.

I just knew something needed to change in order to make it fit my life again.

At one point, I did consider closing up shop on them, and not producing them again. But I honestly couldn’t bear the idea of not having my own workbooks to use… and I know many of you feel the same way. So I thought I would offer them as undated. For you to use and re-use as you wish, to your heart’s delight.

Making them undated won’t make them more profitable for me. But it is a way for me to be able to continue offering this product for you… and for me.

And it will also clear the space for me to create new things.

I know miracles come this way when I follow my instincts and honour my natural rhythm.

Dumping Out My Satchel

Dearests,

I’ve been fluffing about, in a big ole slump, waiting for the excitement and motivation to return.

And it hasn’t returned, really. I’m just fucking bored. I tried doing nothing. I’ve done a lot of nothing. And it’s not very exciting or interesting.

So here I am, again. Beginning again. I’m going to try and write my way out of it. See if I can get some movement back that way.

For a while now, I’ve been feeling like something new is coming.

Like a chrysalis waiting for the butterfly to emerge. Or at the very least, a moth. Or just a plain old insect. Honestly, anything rather than being primordial mush.

And now I’ve realised what I’m becoming: parent of a tween, firmly heading into teen territory. There’s been some challenges of late, and it’s taken a lot of time & energy. I feel like I’ve been a really chill mama for the last decade or so. My kids have been a bit of a dream run (once they weren’t babies who didn’t sleep or toddlers who ran away in shopping centres). I haven’t really had to yell, they haven’t needed much redirection, they don’t really argue or fight with each other. We’ve just been in this sweet little bubble of four.

But now… I don’t feel like a chill mama. I’ve felt so much rage and disappointment and like I was going to pop a fucking neck vein. And to be honest, the challenge hasn’t been THAT BAD, ya know? Just the first time my kid has dented my heart. I feel as ill equipped for being a mum of teens as I was a brand new mum of an infant. I feel like I need to uplevel my skills and understanding. And I feel like I need quite a bit of therapy to work through my resultant anger triggers.

Parents of teens: please send me your book recommendations. Or any recommendations, really. Or just send me any whispers of strength and compassion. Thank you. I am grateful.

I’ve been painting again

I’ve been so restless I’ve started cracking out paints and doing abstract pages to put in my journal 6 at a time. I feel wary about even talking about it, don’t want to lose the magic of this little, private time with myself.

Sometimes they become a prayer. I get out our vintage typewriter and I crash-thunk-shink type out loud prayers to myself.

Please let this suffering make me wider, wiser, bigger, braver. Please let it awaken my heart. Please let it make me softer, smoother. Let it make me more like my three elders: Granny, Nan & Aunty Lucy.

I’ve been wondering about awe

How maybe just maybe I’m deficit in awe and beauty after 18 months of pandemic life. That maybe just maybe I need to make this a priority, not a nice to have.

And that’s tricky to do when I feel like each week in life & parenting & the rest of it is a series of large waves of all different kinds, and I’m just trying to keep my head above water.

I’ve started taking photos to try and document the tiny blips of awe & beauty I can find. I am collecting them, hoarding them, like a chipmunk before winter.

I don’t know what I’m doing.

I don’t know what I’m doing.

But here I am anyway.
